Phoenix House Quality & Training Coordinator - Part Time in Brandon, Florida

The position will manage the electronic data interface (EDI) with Central Florida Behavioral Health Network (CFBHN), Assist in managing all contracts and billing, , assist with Health and Safety for Florida region, assist with Medical Records, train staff on appropriate data entry, within Welligent and/or non-Welligent databases. analyzes and responds to all billing, medical records and data matters in a professional and timely manner.



  • Manage our EDI relationships with IT and Welligent.

  • Coordinate rollout of EDI functionality and work with IT on new data requirement changes per DCF.

  • Research and assist with correcting errors.

  • Prepare, crosscheck all data to be uploaded and upload data to CFBHN Database

  • Downloads error files from CFBHN.

  • Runs extracts of demographic, placement, outcome, and service data files from Welligent and uploads them to Central Florida Behavioral Health Network (CFBHN), a managing entity for Florida’s Department of Children and Families (DCF).

  • Creates delete files and resubmit data when errors arise

  • Trains staff on proper completion of DCF forms and other objects in Welligent from which data is pulled for the CFBHN EDIs.

  • Maintains and updates user guides to assist staff in entering quality, error-free data.

  • Completes Voter Registration Report Quarterly into Sharepoint.

  • Completes mandatory weekly and monthly reports required by DCF and CFBHN and places these into Sharepoint.

  • Utilizes CFBHN database for error analysis and compares DCF-accepted data with Welligent billing and service data to analyze errors.

  • Works with Phoenix House’s IT department to develop Welligent enhancement requests to increase successful transmission rates and improve data quality.

  • Keeps abreast of changes in data content and transmission requirements and requests modifications accordingly.

  • Identifies Welligent data mapping and extraction errors and requests repairs.

  • Requests and follows up on data entry corrections from management and staff.

Medical Records

  • Medical Records Designee- Will assist in prep of medical records request - Administrative and Outpatient Florida

Health and Safety

  • Continuous meetings to update Policy and procedures regarding health and safety

  • Follow up on mandated drills to ensure compliance


  • Run billing cycles (other than Emdeon Cycles) and trouble-shoot all billing violations

  • Assist with managing and completing all contract billing

  • Creates new billing cycle on a weekly basis other than Emdeon Cycles

  • Applies all contract payments

  • Assist with any billing violation clean ups including Rolling claims over to CFBHN, marking items unbillable or adjusting claims.


  • Assist, train, and consult with other Staff as needed.


  • Coordinates CPR/HIV/AIDS training as needed


  • Pursue continuing education of applicable software and hardware

  • Attends CFBHN and Phoenix House meetings and trainings concerning data quality.

  • Participate in departmental and other meetings as requested.

  • Completes and build graphs, charts, etc. on monthly basis to provide to VP for board meetings

  • Completes Large Data Management Projects as requested

  • Complete other tasks as assigned

Minimum 5 years current office billing experience or equivalent combination of education, training, and healthcare experience. Electronic health record (EHR) experience preferred. Proficiency in Microsoft Office, especially Access and Excel.
